How notes work

Every product with a note, newest first. These are the same notes shown on the Stock import, Stock cover and Sales analysis tabs: change one anywhere and it changes everywhere. Clear a note's text to remove it. Discontinued lists every line marked as discontinued (with or without a note); press Not discontinued to bring one back on the Stock import and Stock cover tabs. Use Mark discontinued under a note's type, or Mark discontinued… for any SKU. Use the links under each SKU to jump to it on another tab. Import notes takes an Excel or CSV file with a "Veeqo SKU" column and a "Note" column; the Download file is in that format, so you can download, edit in Excel and import it back.

Leyton stock

Upload the latest Leyton report (CSV, .xlsx or .xls). Veeqo orders since the report are taken off automatically.

About this

Upload the Leyton stock export (.xls, .xlsx or .csv). The app reads the reference and In Stock columns for every Leyton SKU in your mapping, confirms which day the report is from (read from the file name where it can), finds the cut-off from when Veeqo orders stopped shipping that day, and takes off orders shipped after it plus orders not shipped yet (re-checked on every pull). Uploading replaces the previous stock figures and clears all reviews (ticks and entered quantities), so everything over the review % is checked again.

Rules and SKU mapping

Which Veeqo SKU goes with which Leyton SKU, and any % rules. Upload the workbook or change single products.

About this

One workbook with two sheets: Rules (Leyton SKU and the % of Leyton stock to send, which replaces the normal check), SKU to include (Veeqo SKU and its Leyton SKU). Uploading replaces both. Notes, ticks and entered quantities are kept, and new SKUs pick up their Leyton stock and Veeqo details automatically.

Veeqo

One button pulls new orders, stock levels, product details and kits from Veeqo.

About this

Demand is the number of units on shipped orders across all channels, except orders fulfilled by Amazon (FBA), created in the last 3 months. Pull everything from Veeqo does it all in one go: new shipped orders, then one read of the whole Veeqo catalogue for stock levels (Stock cover tab), fresh product details for every mapped SKU (titles, IDs, price, tax rate) and kit links. Pull stock levels only skips the orders.

API keyStored on the server and never shown again.
Refresh from Veeqo automaticallyIn the background while the planner is open: new orders, stock levels, kits and Leyton stock now. Only one open planner does it; the others pick up the new figures. The time of the last update shows under the app name.

Daily stock cover email Not sending

A morning summary of Steps 1, 2, 3 and 5 on the Stock cover tab for Leyton products and for other products: a snapshot of how many lines need action, with details of only the lines that are new since the last email. Sent from your own mailbox.

How automatic sending works

After the send time, the planner refreshes everything from Veeqo, builds the report and sends it. On weekday mornings a scheduled job opens the planner by itself to do this, so nobody needs to be logged in; otherwise the first time anyone has the planner open after the send time, it sends it. Only one copy is ever sent per day, even with several people logged in. If the refresh fails, the email still goes, marked NOT REFRESHED with the reason. If sending itself fails (mailbox problem), the next person to open the planner tries again, up to 3 times a day. Discontinued lines are always left out. Leyton stock isn't uploaded daily, so the email shows the last known Leyton figure with its date, and warns when that file is old.

Send automaticallyEach morning, once, from the first open planner after the send time.
Send toFixed list; the email can only ever go to these addresses. Separate with commas.
Send atUK time, from the first open planner after this.

Demand forecast

Months of shipped orders to look atDemand history used for the monthly average.
How months are averaged
Stock-out months in the forecastA month where a regular seller suddenly sold almost nothing and then recovered (or recorded at 0 stock for 7+ days) is very likely a stock-out, not low demand.
Months of demand to hold in VeeqoThe new Veeqo quantity.

Stock import checks

Manual check above (% of Leyton stock)No quantity is suggested; you enter one.
When demand is under the review %For example demand 2 with 1,293 at Leyton: send 323 (25%) instead of 2.

Sales analysis

Order history keptHow far back Sales analysis can look (the weekly chart, 120 / 180 days and their comparisons). The demand forecast still uses its own months above. Going longer means one longer "Pull everything" to read the extra orders.
Trends: ignore SKUs selling under (units a month)Stops very slow sellers showing as "rising" because of one sale.

Files

Open orders in the Veeqo importVeeqo keeps open orders allocated against the stock you import, so adding them makes the free stock after import equal the planned qty.
Leyton stock columnHeader name in the Leyton export. Applies from the next upload.
Export "product_id" columnWhich Veeqo ID goes in the import file.
Notes in the Veeqo import fileAdds a "notes" column at the end with any note and its date.

Kits and packs

Packs and kits sold, counted against the products they take stock from.

About this

In Veeqo, packs and kits (for example FRCT5-10 or DL111573-RGB) are set up as kits that take stock from their components. An order only records the kit sold, so each kit sold is counted against its components using the quantities set in Veeqo: FRCT5-10 counts as 10 of FRCT5. Kit details are saved, so only new listings are checked on each pull.

Mapping check

Veeqo titles whose *CODE* doesn't match the mapped Leyton SKU.

About this

Compares the code between the asterisks in each Veeqo title (e.g. *JET-WH-3K*- Fire Rated…) with the Leyton SKU in your mapping. A difference usually means the mapping points at the wrong Leyton product. Uses the Veeqo details already pulled; press Refresh product details if titles have changed.

Security

The login password is never stored as text, in the website’s files or in the browser: the server keeps only a one-way scrambled copy (a hash). After logging in, the browser holds a session key that ends after 12 hours without use, on Sign out, or when the password changes. Eight wrong passwords from one place lock logins from there for 15 minutes.

Change the login password

Add a product

Adds one SKU to the mapping without uploading the workbook. It picks up its Leyton stock and Veeqo details straight away.

Edit a product

Change one product's mapping or rule without uploading the workbook.

Remove a product

Takes the SKU out of the mapping, so it's no longer planned or exported. Any note on it is kept in case you add it back.
